Four founding places · August–September 2026

Turn messy workflows into systems your team can use.

I help SME owners understand recurring work that is slow, manual or dependent on one person.  For this founding cohort, I am offering four focused workflow diagnostics free of charge.

One workflow.  A practical diagnostic conversation.  Written findings and a recommended next step.  No obligation and no promise of a software build.

How it works

A bounded review, not a sales maze.

01

Choose one workflow

Bring a recurring process that costs time, creates errors or relies too heavily on particular people.

02

Diagnose and map it

We examine the current steps, friction, hand-offs and evidence without asking for confidential source material.

03

Receive a recommendation

You receive concise written findings, the most useful next step and an honest view of whether technology would help.

Operator-built systems

Sixteen years improving how a real business runs.

I did not start with AI.  I started by running operations and building better ways to manage the work.  Across 16 years inside an operating construction business, including time as its managing director, I have designed systems around the recurring problems faced by finance, commercial and operational teams.

Since February 2025 this has been my full-time focus.  Software and AI now let me connect more of those workflows, automate controlled steps and make the right evidence visible to the people responsible for decisions.

Workforce and operations

Production systems for attendance, timesheets, labour controls and the records needed to manage recurring site activity.

Commercial control

Estimating, project-cost, application and retention workflows that turn fragmented commercial records into controlled processes.

Finance and reporting

Management accounts, board reporting, forecasting and planning workflows built around source records, checks and visible exceptions.

Business development

Structured research and opportunity workflows that turn scattered information into prioritised, reviewable commercial intelligence.

Operational proof

Production systems, not demonstrations.

These are anonymised examples of systems built and deployed inside an operating business.  They are not external customer case studies.  Identifying details and performance figures are withheld.

Workforce and labour control

A live operational system for recurring workforce records across projects, with mobile capture, different work routes, administrative controls, validation, reporting and downstream documents.

Document-processing workflow

A deployed workflow that separates scanned document batches, identifies and extracts structured information, applies plausibility checks, files the records and updates the controlling schedule.

Who it is for

A good fit if the workflow matters now.

  • You own or can change the workflow.
  • The work recurs and has a visible cost in time, delay or errors.
  • You can discuss the process without sharing sensitive information.
  • You are willing to give candid feedback on the diagnostic.

Places are selected for fit, not first come, first served.  Applying does not guarantee a place or any paid work.

About

Operator first, technology second.

I’m Mat Glendenning.  My experience combines operational leadership, systems design and hands-on delivery.  Proof Systems starts with how work actually happens, who owns it and what evidence matters.  It then uses software and AI only where they make the process more reliable, visible or useful.
