The demonstration

What this film shows

A site manager allocates weekly labour costs to project budget locations and checks remaining value.  A quantity surveyor creates a controlled variation, builds a client quote and reviews an overspend request.  Accounts then generates a payment workbook with detailed records and a Sage-compatible nominal and cost-code export.

The problem

Weekly labour costs can sit in a file until someone has time to spread them. Variations, quotes and overspends then live in other places, so accounts cannot produce a coded payment export from one controlled record. Off-the-shelf options require the business to change its operating approach to fit the software.

Who uses it

Site managers allocate real activity against project budgets.  Quantity surveyors control variations, quotes and overspends.  Accounts needs a coded payment export they can trust.

The flow

  1. A site manager reviews unallocated labour costs for the week.
  2. Costs are assigned to the correct plot and work element against remaining budget.
  3. A quantity surveyor records a controlled variation and builds the client quote.
  4. An overspend request is reviewed against the appropriate budget location.
  5. Accounts generates a payment workbook with detailed records and a coded export.

Design choices

Each role sees only the part of the week they own.  Allocation, commercial control and payment export stay connected without turning every user into an accountant.

Related systems

SiteLog first supplied records to existing cost-control and payment processes. BudgetFlow later connected that workflow to the existing accounting software. A weekly scheduled API extraction brings in SiteLog records; managers allocate costs; a BudgetFlow export is produced at a set point each week for import into accounts.
